 Our client is looking for a dedicated Service Coordinator to become the central hub that keeps their essential services business running smoothly. As their representative, you will be the trusted voice customers hear when they need heating and cooling solutions. You will coordinate between field technicians and customers, manage real-time scheduling, and take ownership of the logistics that drive daily operations. Client Overview

Our client is an established business in the HVAC (Heating, Ventilation, and Air Conditioning) industry located in the Washington DC area. They provide essential services and pride themselves on a collaborative, supportive environment where the Virtual Assistant works directly with the business owner to ensure operational excellence.

Schedule Monday - Friday, 9:00 AM - 6:00 PM ET, with 1 hour unpaid break (40 work hours per week)

Responsibilities

  • Customer Service: Answer incoming customer calls and provide professional, reassuring customer service.
  • Scheduling: Schedule and coordinate appointments between customers and field technicians in real-time.
  • Technician Coordination: Communicate with technicians throughout the day to manage schedule updates and availability.
  • Data Logging: Maintain detailed logs of all customer interactions and service call histories.
  • Outbound Outreach: Make outbound calls to customers for appointment confirmations and schedule management.
  • Warranty Processing: Process equipment warranties and register new equipment installations.
  • Record Management: Keep updated customer records to identify follow-up opportunities and seasonal outreach.
  • Administrative Support: Handle general administrative tasks and warranty processing during downtime between calls.
  • Reporting: Communicate regularly with the business owner regarding daily operations and logistics.

Requirements

  • Excellent English communication skills with a professional phone manner.
  • Customer service experience with the ability to handle both inbound and outbound calls.
  • Strong organizational skills and attention to detail for maintaining logs and records.
  • Comfortable learning technical terminology and industry-specific language.
  • Reliable internet connection and quiet work environment for phone-based work.

Qualifications

  • Experience with scheduling software or customer management systems (Preferred).
  • Previous experience in a dispatch or logistics-heavy role (Highly Regarded).

Side Note

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
