Job Overview
Our client is looking for a proactive and highly organized Administrative & Operations Assistant to support their evolving business operations. This role involves working closely with the business owner to establish new processes, manage communications, and maintain administrative systems for both a roofing business and short-term rental properties.
Schedule

Monday - Friday, 8:00 AM - 5:00 PM AEST, with a 1-hour unpaid break (40 work hours per week)

Responsibilities
- Work closely with business owners to collaborate and establish new processes as businesses evolve
- Manage general communications including email responses, client follow-ups, and scheduling
- Coordinate job bookings and maintain project timelines using Trello boards
- Handle invoicing and financial administration through Xero accounting software
- Support quoting processes using Quotion software
- Manage Airbnb booking coordination and communication with cleaners/assistant managers to optimize performance for property sale
- Maintain and assist in improving organization of Trello boards for payables, renewals, insurances, and job tracking
- Process and categorize incoming emails using Trello’s email-to-board functionality
- Create and maintain SOPs through video recording and documentation
- Support real estate agent relationships and private client communications
- Handle urgent payables and vendor management
Requirements
- Strong experience with Trello for project management and organization
- Proficiency with Xero accounting software (preferred)
- Excellent written and verbal communication skills
- Experience with email management and client communications
- Ability to work independently and manage multiple priorities
- Familiarity with Australian business practices and terminology
- Strong attention to detail for financial and administrative tasks
- Comfortable learning new software platforms (Quotion, Komodo, Lodgify)
- Previous experience supporting trades or construction businesses preferred
- Reliable internet connection and professional home office setup
Scope
- Support approximately 7 roofing jobs per month
- Manage communications for 4 primary real estate agent relationships plus private clients and Airbnb guests
- Handle both roofing business administration and Airbnb property management until the sale of the property
- Work with contractor payments and vendor relationships
- Support business transition as Airbnb operations are handed over to new owners
- Maintain organized systems across multiple Trello boards and software platforms
- Provide 30-40 hours per week of administrative support
- Focus primarily on communications management rather than complex financial analysis
- Support business owner who plans to relocate roofing operations to coastal Australia in 2026

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
