Operations & SimPro Administrator

About the Role

We are seeking a highly organized and detail-oriented General Administrator to support our Australian-based Senior Administrator with backend administrative tasks and operational coordination.

This role is critical in ensuring that jobs are properly set up, invoices are processed accurately, and internal systems remain organized and up to date. The successful candidate will play an important role in maintaining operational efficiency and supporting day-to-day business activities.

We are ideally looking for a more experienced administrator rather than a junior candidate, someone who can work independently, manage systems accurately, and communicate professionally with customers and internal teams.

Schedule: 10:00 AM – 7:00 PM Brisbane Time, with 1 hr unpaid break

Core Responsibilities

1. SimPro Job & Project Management

  • Job Setup: Accurately create and manage jobs handed over by the Sales team.
  • Costing & Materials: Prepare job costings, update project info, and coordinate material orders.
  • Documentation: Ensure all job-related files and records are organized and complete within SimPro.

2. Financial Administration

  • Invoicing: Generate and issue accurate invoices that align with job costings.
  • Financial Tracking: Maintain organized records and coordinate with teams on billing updates.

3. Communication & CRM Management

  • Inbox Management: Monitor shared email and CRM (GoHighLevel) inboxes; respond to inquiries promptly.
  • Database Hygiene: Perform regular audits of SimPro and CRM records to ensure "clean" data and accurate quote follow-ups.
  • Liaison: Act as the professional link between sales, operations, and customers.

Requirements

  • Technical Expertise: Strong proficiency in SimPro is Essential. Familiarity with GoHighLevel (GHL) is highly preferred.
  • Experience: Experienced administrator (not junior) with a background supporting Australian-based trade or service businesses.
  • Communication: Fluent written and spoken English with a professional tone for customer interaction.
  • Organization: High attention to detail with the ability to work independently and manage multiple "moving parts" without supervision.

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
