Sales Admin Assistant – Estate Planning Law Practice | Remote | Immediate Start
Job Description:
You’ll be the vital first point of contact for families seeking essential legal guidance during some of life’s most important moments. In this role, you’ll own the entire client journey from initial contact through ongoing relationship management, directly supporting an experienced attorney while helping grow a meaningful practice. You’ll have the opportunity to make a real difference in people’s lives while developing expertise in legal services and client relationship management.
Client Overview:
Join an established estate planning law practice that helps families navigate critical life transitions through trust, probate, and estate planning services. This growing practice serves clients throughout California and is expanding operations to better serve their community during important legal milestones.
Schedule:
- Full-time (40 hours per week), Monday to Friday 8:45am to 5:45pm with one hour of unpaid break
- Client Timezone: Pacific Time (California)

Responsibilities:
- Answer incoming calls and serve as the primary contact for prospective clients seeking estate planning services
- Conduct initial client screening to assess needs and determine service appropriateness
- Schedule consultations and manage calendar coordination for qualified prospects
- Make outbound calls to warm leads, referral partners, and potential clients for business development
- Send professional correspondence and manage follow-up communications with prospects and clients
- Assist with legal document preparation and client paperwork processing
- Communicate with existing clients regarding their estate plans and case status updates
- Handle administrative tasks and maintain organized client relationship management
- Support attorney with day-to-day operations and client service delivery
Requirements:
- 3+ years of experience in customer service, client-facing roles, or administrative support
- Strong verbal communication skills with professional phone presence
- Experience with appointment scheduling and calendar management systems
- Ability to work independently in a remote environment with reliable internet
- Professional written communication skills for client correspondence
- Experience with CRM systems and phone platforms (RingCentral experience is a bonus)
- Discretion and professionalism when handling sensitive client information
- Bonus if you have experience in legal services or professional services environments
- It helps if you’re comfortable with both inbound service and outbound relationship building
