Job Overview

Our client is looking for a highly organized, proactive, and discreet Administrative Assistant to provide direct support in their legal practice. This is a hands-on role for someone who can anticipate needs, manage competing priorities, and serve as a trusted right hand in both professional and client-facing matters.

Schedule

  • Monday - Friday,  flexible during client business hours (Ontario, Canada)

Responsibilities

  • Proactively manage the principal’s calendar, scheduling, and deadlines
  • Monitor and triage emails, flagging priorities and drafting responses where appropriate
  • Coordinate client communications and follow-ups on behalf of the principal
  • Prepare, proofread, and format legal documents and correspondence
  • Organize and maintain digital files and document systems
  • Track tasks, key dates, and transaction milestones
  • Assist with billing coordination and basic bookkeeping tasks
  • Ensure the principal is prepared for meetings, closings, and client calls
  • Handle sensitive information with absolute confidentiality
  • Identify inefficiencies and suggest improvements to workflow

Requirements

  • Highly organized and detail-oriented, with strong follow-through
  • A self-starter who anticipates needs rather than waiting for instruction
  • Calm under pressure and able to manage shifting priorities
  • Professionally polished in written and verbal communication
  • Comfortable exercising discretion and sound judgment
  • Tech-savvy and confident using Microsoft Office and cloud-based systems
  • Experienced in legal, real estate, or professional services environments (preferred)
  • Comfortable working independently and being accountable directly to one principal

Side Note

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
