Role Overview
The Project Administrator serves as a vital coordinator for daily business operations, ensuring all departments function with maximum efficiency and effectiveness. This role involves assisting in project execution, coordinating field teams, optimizing workflows, and supporting critical scheduling, procurement, and safety initiatives. The Project Administrator collaborates closely with leadership to align operations with strategic goals and ensure the high-quality delivery of all projects.

Key Responsibilities
1. Project Coordination & Operational Support
- Support the Project Management team and assume project-related duties as required to maintain momentum.
- Provide backup support to the estimating team during high-volume periods.
- Maintain project files, logs, and documentation in a highly organized and accessible format.
- Track project permits, inspections, and certifications required for regulatory compliance.
- Monitor project deadlines and ensure the timely submission of all deliverables.
2. Financial Administration & Budgetary Oversight
- Support the preparation and processing of purchase orders, invoices, and payment applications.
- Track project budgets, commitments, and cost reporting to ensure financial transparency.
- Conduct comprehensive financial and schedule reviews for all active projects.
- Organize and lead Work-In-Progress (WIP) meetings across specialized systems (e.g., mechanical).
3. Communication & Liaison
- Serve as the central point of contact between office staff, field staff, subcontractors, consultants, and clients.
- Coordinate project meetings: prepare agendas, record minutes, and diligently follow up on action items.
- Ensure timely communication and distribution of critical information across the project lifecycle.
4. Document Control & Compliance
- Manage and track submittals, RFIs, change orders, and site instructions.
- Review, distribute, and log drawings, specifications, and addendums.
- Ensure all project records comply with company policies, COR (Certificate of Recognition), and safety standards.
- Assist with subcontractor agreements and verify compliance documentation.
5. Performance & Professional Development
- Manage and report on Key Performance Indicators (KPIs) to track operational success.
- Oversee training programs and assist in the professional development and guidance of staff.
Side Note: Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.
