Inside Sales Support Specialist

Role Summary

This role supports the sales team by managing inbound inquiries, preparing quotes, processing orders, and maintaining CRM hygiene. The objective is speed, accuracy, and clean pipeline visibility.

This is not a closing role. This is a precision and execution role.

Role Type: Remote
Reports To: Sales Operations Manager / Director of Strategic Operations
Primary Systems: HubSpot, Shopify, QuickBooks (view), Google Sheets, Email, Phone

Schedule:

  • 9:00 AM – 6:00 PM Boise time (with a 1-hour unpaid lunch / 40 hours per week / 8 paid hours per day)

Core Responsibilities

Inbound Lead Support

  • Monitor inbound inquiries (email, web forms, call transfers)
  • Assign and route leads in HubSpot
  • Respond to non-complex inquiries within SLA
  • Schedule meetings for Account Executives

Quote & Order Preparation

  • Build quotes from approved pricing structures
  • Validate margins using provided rubric
  • Prepare order documentation for internal approval
  • Ensure purchase orders match quotes before processing

CRM & Pipeline Hygiene

  • Maintain accurate deal stages in HubSpot
  • Update contact and company records
  • Ensure notes and next steps are logged
  • Track lost deal reasons

Administrative Sales Support

  • Prepare vendor documentation packets
  • Coordinate shipment confirmations
  • Assist with proposal formatting
  • Maintain shared pricing sheets

KPIs

  • Lead response time under 1 business hour
  • Quote turnaround under 24 hours
  • CRM data completeness above 98%
  • Error rate under 1% on order documentation
  • AE satisfaction score (internal metric)

Required Skills

  • Strong written English
  • High attention to detail
  • CRM experience (HubSpot preferred)
  • Intermediate Excel/Google Sheets
  • Process-oriented mindset
  • Comfortable working within SOPs

Ideal Background

  • 2+ years in sales support or sales admin
  • Experience supporting U.S.-based sales teams
  • Experience in product or distribution businesses

  • This is a permanent work-from-home role under an Independent Contractor arrangement.
