Role Scope

This role is pivotal in transforming a sole-operator electrical business into a systemized and scalable enterprise. You will be responsible for building the operational backbone, significantly reducing the owner's administrative burden, and enabling strategic growth by implementing efficient processes across client management, finance, and marketing. Your work will directly impact overall efficiency, enhance the client experience, improve financial health, and increase the business's capacity for future expansion.

Schedule

  • TBD but most likely flexible within 9:00 am - 6:00 pm Sydney time (20 hours per week)

Responsibilities

  • Manage end-to-end client and job administration within Tradify, including customer profile creation, job card generation, scheduling, and confirmation communication.
  • Ensure timely and accurate financial management by processing client invoices, diligently following up on overdue payments, and managing supplier bills and reconciliations in Xero.
  • Enhance our client's digital presence through consistent social media scheduling (Facebook, Instagram) and monthly email marketing campaigns via Mailchimp.
  • Conduct market research to identify potential new clients or suppliers (e.g., swimming pool suppliers) and support business development initiatives.
  • Document existing administrative workflows and create comprehensive Standard Operating Procedures (SOPs) for all recurring tasks, particularly around Tradify usage.
  • Maintain and update website content and service pages as needed using WordPress.
  • Proactively identify and suggest improvements for operational efficiency, software utilization, and overall business processes.

Requirements

  • Proven experience in administrative support or assistant roles, preferably within a trade or service-based business.
  • Proficiency with business management software, specifically Tradify and Xero.
  • Experience with email marketing platforms (e.g., MailChimp) and social media scheduling tools.
  • Familiarity with website content management systems (e.g., WordPress) is highly desirable.
  • Exceptional organizational skills, meticulous attention to detail, and strong time management abilities.
  • Excellent communication skills, both written and verbal, for effective client interaction and internal documentation.
  • Self-motivated, proactive, and capable of working independently to meet deadlines and anticipate needs.
  • A strong desire to systemize processes, create order out of 'chaos', and contribute directly to business growth.

This is a permanent work-from-home role under an Independent Contractor arrangement.
