Job Overview
Our client is looking for a highly organized and technically knowledgeable Project Manager to support and drive the successful execution of U.S.-based construction and technology projects. This role functions as a direct extension of the Project Management team and requires strong coordination skills, disciplined follow-through, and — critically — a working understanding of structured cabling, Wi-Fi infrastructure, and networking terminology. The ideal candidate understands how low-voltage and wireless infrastructure projects operate and can confidently communicate with field technicians about access points, switches, fiber runs, cable drops, IDFs/MDFs, surveys, and related scope items. This position is 100% remote and outsourced, supporting U.S.-based job sites. Responsiveness during U.S. business hours and real-time execution are essential.

Responsibilities
Technician Coordination & Daily Project Oversight
- Serve as the primary remote point of contact for field technicians on active cabling and Wi-Fi projects.
- Conduct three required daily check-ins with each technician: Morning (Confirm site arrival and access), Mid-day (Verify progress), and End-of-day (Confirm photo uploads, testing results, and documentation completion).
- Communicate clearly using proper technical terminology related to Access points (APs), Switches, Fiber/Copper cabling, and Rack installations.
- Identify and escalate issues related to materials, scope, access limitations, or technical blockers in real time.
- Ensure technician updates are accurately captured and entered into Halo systems the same day.
Project Scheduling & Site Survey Management
- Coordinate and track site surveys from scheduling through completion.
- Maintain consistent communication cadence with survey technicians.
- Collect complete survey documentation including photos, measurements, cable path notes, and equipment placement details.
- Translate technician notes into clear, structured survey summaries.
- Support development and refinement of standardized survey templates.
Project Documentation & System Updates
- Maintain live, accurate project records using approved systems (BuildPass, Monday, shared drives, etc.).
- Enter daily project notes documenting work completed, technical status, risks, blockers, or change requests.
- Ensure all files are clearly written, technically accurate, and stored properly.
- Follow up immediately on missing or unclear technical information.
Expense Tracking & Financial Documentation
- Collect and organize documentation for hardware purchases, equipment rentals, change orders, and scope modifications.
- Ensure documentation is stored correctly under the appropriate project.
- Submit approval requests in real time.
- Ensure no unresolved expense documentation remains at weekly close.
Communication, Responsiveness & Escalation
- Proactively communicate with leadership when clarification or technical decisions are needed.
- Follow up persistently and professionally.
- Escalate appropriately when timing impacts project delivery.
- Document communication when delays affect execution.
Requirements
- Strong written and verbal English communication skills.
- Demonstrated understanding of structured cabling systems, Wi-Fi deployments, and low-voltage infrastructure terminology.
- Knowledge of fiber vs. copper environments and network hardware components.
- Ability to confidently communicate with field technicians about technical scope.
- Excellent organization and time-management skills with the ability to manage multiple active job sites simultaneously.
- Experience using project management and documentation tools (Monday, BuildPass, SharePoint, Google Drive, etc.).
Qualifications
- Experience as a Virtual Assistant, Project Coordinator, or Project Administrator supporting U.S.-based companies.
- Background in construction technology, low-voltage, IT infrastructure, or networking projects.
- Prior experience coordinating cabling crews or Wi-Fi deployment teams remotely.
- Familiarity with site surveys, rack builds, AP placements, and network hardware documentation.

- 100% completion of required technician check-ins.
- Accurate, real-time visibility into project status.
- Complete and technically accurate documentation.
- Zero unresolved expense items at weekly close.
- Reduced project delays caused by communication gaps.
Working Hours & Availability
- Must be available during U.S. Central Time business hours.
- Must remain responsive throughout the workday via chat, email, and project platforms.
- This role requires same-day execution — tasks are not deferred without approval.

This is a permanent work-from-home role under an Independent Contractor arrangement.
