Event Operations Assistant

Role Overview

The Event Operations Assistant provides comprehensive remote support to the business owner, serving as a critical pillar for communication, record-keeping, and task management. We operate on a "75-90% Completion" model: your goal is to handle the heavy lifting and technical setup of a task, allowing the manager to provide the final 10% sign-off. This role requires high speed, operational flexibility, and a proactive mindset.

Key Responsibilities

  • Communication & CRM: Monitor Beatpilot (GoHighLevel) notifications daily. Manage client emails twice daily, handling general inquiries and escalating complex issues to the manager.
  • Event Logistics: Enter event details into Snappic software and assist in basic photo booth template design. Prepare music sets for DJs and manage staff scheduling following established SOPs.
  • Content & Social Media: Handle simple creation and duplication of social media posts. Manage Google Business posts across brands and assist with basic web updates/graphic design.
  • Operational Support: Draft policies and procedures (SOPs). Aggregate payroll data for approval, ensuring reimbursements and policies are strictly followed.
  • Tech & AI Integration: Assist in the development of AI tools for fieldwork and utilize AI for email filtering and spam management.
  • Asset Management: Upload photo booth images and ensure the timely delivery of client deliverables.

Requirements

  • Technical Proficiency: High proficiency in Google Workspace (specifically Shared Drives). General understanding of CRMs and ERPs.
  • Professionalism: Excellent English proficiency with a strong grasp of email etiquette.
  • Work Style: Self-accountability is a must. You must be able to complete delegated email tasks within the 7:00 AM – 7:00 PM EST window.
  • Preferred Experience: Prior experience in the Wedding/Event, Hospitality, or Sales industries is highly preferred. Beginner knowledge of digital photography or graphic design is a plus.

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
