We are seeking a detail-oriented Paralegal/Administrative Assistant to support a rapidly growing Intellectual Property (IP) department handling international legal matters. Client Overview
The client is a dynamic full-service law firm with a fast-expanding Intellectual Property department serving clients across the United States, Europe, and Latin America. The firm manages sophisticated international IP matters and utilizes advanced IP management platforms to ensure efficiency, compliance, and accuracy in handling legal cases across multiple jurisdictions.
Schedule
Monday - Friday, 9:00 AM - 1:00 PM Haiti Time (same as EST) (20 work hours per week)

Responsibilities
- Manage invoicing processes for international intellectual property clients
- Handle client communications via email and coordinate timely correspondence
- Utilize IP management platforms for docketing and comprehensive case management
- Ensure timely filing of legal documents and meet critical legal deadlines
- Support administrative operations for the growing IP department
- Maintain organized systems and follow established legal procedures
- Coordinate communications with clients across multiple time zones
- Track and manage case deadlines using structured processes and tools
Requirements
- Strong organizational skills with exceptional attention to detail
- Experience in administrative or paralegal roles within a professional environment
- Proven ability to consistently meet strict deadlines
- Excellent written communication skills in English
- Experience handling client-facing communications professionally
- Ability to work with legal management software and digital platforms
- Comfortable working with international clients across various time zones
Qualifications
- Experience supporting intellectual property matters (preferred)
- Familiarity with IP docketing systems and structured case management processes (preferred)
