Job Summary
The Administrative Assistant supports the Mitigation Department by performing a variety of administrative and clerical tasks. This role provides critical support to managers and field teams, assists with daily office needs, and helps manage the company’s general administrative activities related to mitigation operations. The ideal candidate is highly organized, detail-oriented, and proactive in communication and job coordination.
Description
- Review mitigation calendar daily to coordinate and confirm scheduled jobs
- Monitor CRM (DASH) daily to organize and prioritize mitigation jobs
- Mitigation pending sales job updates and equipment tracker report twice a week
- Assist with scheduling adjustments, including date changes and updates
- Input and maintain accurate job notes in CRM (DASH)
- Create and send out tech monitoring report based on tech notes, photos, and dates
- Review technician notes daily for completeness and accuracy
- Flag missing or incomplete documentation and follow up with field technicians
- Generate and distribute daily mitigation report
- Coordinate follow-up calls for homeowners, tenants, property managers, adjsuters, etc
- Assist with job file organization and audit readiness
- Monitor job progress and alert team to potential delays or issues
- Support managers with administrative requests and reporting needs
- Maintain clear, professional communication with internal teams and customers
- Verify required photos and documentation are uploaded to job files
- Generate sample bags report, follow up with team to verify sample bag process is being followed
- Create mitigation scorecard weekly before mitigation department meeting

Schedule: Working hours to be during Phoenix, Arizona business hours, Monday through Friday from 7am - 4pm with a 1 hour unpaid lunch break

Required Skills/Abilities
- Speaks, writes, understands English proficiently
- Skilled in Microsoft Office Suite and Outlook emails
- Very high proficiency in Excel
- Experience in coordinating i.e. follow up on tasks, research items needed to move jobs forward
- Organized and detail-oriented
- Strong communication skills, both verbal and written to communicate with business managers and employees and in some cases, stakeholders and clients
- Experience working with construction company is a plus. Experience working with mitigation a plus

This is a permanent work-from-home role under an Independent Contractor arrangement.
