You'll be the operational backbone of a fast-paced, high-touch pet care service, where attention to detail and timely communication directly impact customer satisfaction and team efficiency.

The Mission

Schedule

  • Sunday to Thursday, either 1:00 PM to 5:00 PM or 2:00 PM to 6:00 PM EST

Responsibilities

  • Coordinating bookings and scheduling meet-and-greets between pet owners and sitters across New York City
  • Managing weekly reminders, confirmations, and follow-ups via text and scheduling platforms
  • Processing invoices, verifying booking details, and assisting with payroll preparation
  • Onboarding new pet owners and sitters, ensuring they feel welcomed and informed
  • Responding to client inquiries with professionalism, empathy, and problem-solving initiative
  • Identifying workflow improvements and proactively addressing scheduling or communication gaps

The Profile

  • Someone who thrives in customer-facing roles and knows how to juggle multiple moving parts without dropping the ball.
  • You've worked in service industries—whether salons, wellness centers, hospitality, or concierge services—and understand the rhythm of appointment-based businesses.
  • You're equally comfortable sending a warm client reminder, troubleshooting a scheduling conflict, and keeping invoices accurate.
  • You communicate clearly, stay calm under pressure, and take pride in being reliable. Bonus points if you're an animal lover who genuinely cares about the mission of keeping pets happy and safe.

Must-Have Requirements

  • 2-3+ years of experience in a customer-facing administrative or operations role
  • Proven experience in service-based industries (e.g., scheduling for salons, wellness, hospitality, pet care, or similar)
  • Strong organizational skills with exceptional attention to detail - Excellent written and verbal communication skills in English
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines
  • Comfortable using scheduling platforms, invoicing tools, and business communication apps (training provided on specific systems)
  • Reliable internet connection and ability to work independently in a remote setting - Availability to work Sunday through Thursday (flexible hours within that window)

Nice-to-Have Requirements

  • 5+ years of experience in administrative operations or customer support
  • Experience in the pet care, animal services, or pet sitting industry (or a real love for Dogs)
  • Familiarity with payroll preparation or light bookkeeping tasks
  • Basic social media management skills (content organization, scheduling posts)
  • Passion for animals and understanding of pet owner expectations
  • Experience supporting small business owners or startups
  • Proactive problem-solving mindset and ability to identify process improvements

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
