Job Overview
The Mission
You will serve as the operational backbone for a dynamic leadership team navigating a high-growth phase in the engineering sector. Your responsibilities will span the full spectrum of executive support: capturing and distributing meeting minutes, maintaining complex calendars, coordinating cross-functional meetings, and performing data entry tasks that keep critical business information current and accessible. You'll be entrusted with maintaining confidentiality while managing sensitive leadership communications, updating Excel-based reports and dashboards, and ensuring that administrative workflows run seamlessly behind the scenes. This isn't a rigid, task-by-task role—you'll adapt as the team's needs evolve, taking ownership of processes that directly impact decision-making at the highest level.
The Profile
You're an experienced executive assistant who has directly supported C-suite executives or senior leadership teams, ideally within fast-paced or technical environments. You possess advanced proficiency across the Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and can navigate complex scheduling, data management, and document preparation with ease and accuracy. You communicate clearly and professionally in written and verbal English, and you thrive in ambiguity—able to anticipate needs, prioritize competing demands, and work independently with minimal supervision. You're proactive, detail-oriented, and comfortable working remotely while maintaining strong virtual collaboration. Most importantly, you understand that your role is to make leaders more effective, and you take pride in being the reliable, trusted partner who keeps everything running smoothly.
Must-Have Requirements
- Proven experience as an Executive Assistant, Virtual Assistant, or similar role supporting senior executives or leadership teams
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong written and verbal communication skills in English
- Demonstrated ability to manage calendars, schedule meetings, and coordinate across multiple stakeholders
- Experience taking meeting minutes and producing professional documentation
- High attention to detail and accuracy in data entry and document management
- Ability to work independently in a remote setting with reliable internet connectivity
- Strong organizational and time management skills
Nice-to-Have Requirements
- Previous experience supporting leadership teams in engineering, technical, or project-based industries
- Familiarity with project management or collaboration tools (e.g., Asana, Monday.com, Slack, Microsoft Teams)
- Experience working with UK-based clients or in UK time zones - Background in document control or technical administration
