As we continue to expand our support team, we are seeking a highly organized, detail-oriented Virtual Assistant to provide critical remote administrative and project support.


The Role

In this role, you will act as the "control tower" for our construction projects, ensuring all information is accurate, organized, and accessible. You will provide essential support to Project Managers, Project Engineers, and field staff to keep day-to-day operations moving forward.

Key Responsibilities

  • Document Management & Logs: Create, format, and update critical project documents including RFI logs, submittal logs, change order logs, and trackers.
  • Electronic Filing: Organize and maintain electronic project files, including plans, specs, contracts, photos, and correspondence within shared drives or project management platforms.
  • Meeting Coordination: Schedule and coordinate meetings, video calls, and site check-ins, while preparing and distributing agendas and meeting notes.
  • Project Reporting: Help prepare basic reports and summaries, such as progress updates, status reports, and action item lists from project data and emails.
  • Financial Administration: Enter and update data related to estimates, budgets, purchase orders, and invoices under the direction of the project team.
  • Workflow Support: Monitor email inboxes or project channels to flag priority items and support timely follow-ups.
  • Stakeholder Coordination: Coordinate with subcontractors and vendors for document submissions, basic information requests, and outstanding item follow-ups.
  • Bid & Procurement Support: Assist with the preparation of bid packages and support procurement processes, including quote requests and purchase documentation.

Qualifications

  • Experience: At least 2–3 years of experience in an administrative or coordinator role. Prior exposure to construction, engineering, or real estate is a strong plus.
  • Technical Proficiency: Strong skills in Microsoft Office or Google Workspace, particularly Excel/Sheets, and comfort working with PDFs and cloud-based tools.
  • Industry Knowledge: Ability to quickly learn construction terminology and document types such as plans, specs, RFIs, and submittals.
  • Communication: Excellent written and verbal communication skills with professional email etiquette.
  • Soft Skills: High level of reliability, attention to detail, and the ability to work independently with minimal supervision.+1
  • Home Office: A stable internet connection, reliable computer setup, and a quiet workspace suitable for remote collaboration.

Side Note: Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.
