Reception & Operations Assistant - RingCentral

Job Overview
We are seeking an experienced remote professional skilled in managing phone communications, handling professional business calls, and navigating complex software systems. This role does not require a legal background, as legal specifics are primarily template-based and will be taught. However, strong adaptability and the ability to quickly learn evolving software and internal systems are essential.

This position involves managing complex workflows, supporting client communications, conducting AI-assisted research, and handling technical digital tasks within a structured and high-accountability environment.

Schedule

  • Monday - Friday, 9:00 AM - 5:00 PM CST, with 1 hour unpaid break preferred (40 work hours per week)

Responsibilities

  • Manage complex, non-linear workflows and solve operational challenges
  • Conduct AI-assisted legal research using Gemini and NotebookLM
  • Answer and manage all incoming firm calls (Lead Receptionist role)
  • Serve as the primary point of contact for clients with clear and professional communication
  • Provide chat support for firm inquiries
  • Assist in managing the firm’s support email inbox
  • Execute precise digital tasks such as redlining within internal systems
  • Maintain and troubleshoot tools across the firm’s tech stack
  • Participate in regular team meetings under the EOS (Entrepreneurial Operating System) framework
  • Record daily summaries highlighting wins, roadblocks, and workload capacity
  • Maintain active timeblocking in Google Calendar
  • Complete a structured onboarding period focused on mastering systems and workflows

Requirements

  • Proven experience handling professional business calls
  • Strong ability to learn and navigate evolving software systems
  • Experience managing multiple moving parts and non-linear workflows
  • Excellent verbal and written communication skills
  • Strong organizational skills and attention to detail
  • Ability to work independently within a disciplined, high-accountability environment

Qualifications

  • Experience working remotely in a structured team environment
  • Familiarity with workflow and project management systems

Tech Stack Experience Preferred:
Operations: ClickUp, HubSpot, Zapier, PandaDoc
Research & AI: Gemini, NotebookLM
Communication: Slack, Gmail, Zoom, Kumospace, RingCentral, HubSpot Chat
Organization: Google Drive, Google Calendar

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
