Role Overview
Our client is looking for a highly organized, proactive, and creative Executive & Marketing Assistant to support them in daily operations, project management, and marketing initiatives. This role is ideal for someone who thrives in a fast-paced, creative environment and has experience in marketing support, document design, and operational coordination. You will play a key role in keeping projects on track, maintaining quality standards, and helping scale the business as new videographers join the team.

Key Responsibilities:
1. Executive & Operational Support
- Manage planning, scheduling, and coordination for video production projects and internal team activities.
- Act as an accountability partner to the business owner — tracking deadlines, commitments, and priorities.
- Implement and maintain efficient organizational systems and workflows.
- Develop SOPs and documentation as processes evolve.
- Gradually take ownership of additional operational tasks as systems are developed.
2. Project Management & Team Coordination
- Coordinate and oversee the offshore editing team to ensure projects are delivered on time.
- Monitor project timelines and proactively identify bottlenecks.
- Conduct quality control checks to ensure deliverables meet company standards.
- Maintain structured communication between videographers, editors, and the business owner.
- Support onboarding processes as new videographers are hired.
3. Marketing Support & Creative Execution
- Assist with basic marketing activities and campaigns (training provided as needed).
- Support content scheduling and marketing initiatives across digital platforms.
- Create visually appealing documents, proposals, presentations, and branded materials.
- Ensure all marketing materials reflect brand standards and aesthetic consistency.
- Assist with light copywriting and content repurposing when required.
Required Skills & Experience:
Executive & Operational Skills
- Proven experience as an Executive Assistant, Operations Assistant, or similar role.
- Strong project management and organizational skills.
- Excellent time management and prioritization abilities.
- High attention to detail with strong follow-through.
- Proactive mindset and ability to anticipate needs.
Marketing & Creative Skills
- Background in marketing support or coordination.
- Experience creating professional, well-designed documents (e.g., proposals, pitch decks, reports).
- Strong visual sense and understanding of branding principles.
- Proficiency in tools such as Canva, Google Workspace, Notion, ClickUp, Asana, or similar platforms.
- Basic knowledge of social media, content marketing, and digital platforms is a plus.
Soft Skills
- Highly organized and process-oriented.
- Strong communicator (written and verbal).
- Self-starter with a problem-solving mindset.
- Comfortable working with remote/offshore teams.
- Professional, discreet, and dependable.
Preferred Qualifications
- Experience in creative industries (video production, media, digital marketing).
- Experience managing offshore or remote teams.
- Understanding of marketing funnels or client engagement systems.
