Job Description
You’ll be the organizational backbone for a successful coaching business, working directly with two business partners to streamline their client operations and daily workflows. This role offers the perfect blend of administrative excellence and strategic support, where your organizational skills will directly impact the success of multiple home services businesses. You’ll have variety in your daily tasks, direct communication with business owners, and the satisfaction of knowing your work helps small businesses thrive.
Schedule: Mon-Fri- 9:00pm to 1am (20 hours per week); 4 hours daily, Monday through Friday
Client Timezone: Central Time (Michigan) and Mountain Time (Colorado)

Responsibilities
- Manage and organize email communications for both business partners, filtering and prioritizing incoming messages
- Coordinate calendars and scheduling across multiple time zones for Nancy (Michigan) and Megan (Colorado)
- Review client action sheets in Google Docs and extract actionable tasks for each business partner
- Create and send daily morning summary emails with organized to-do lists and priorities
- Handle administrative tasks that emerge from client coaching sessions
- Support client communication and follow-up activities as needed
- Maintain organized systems for tracking three active coaching clients through their four-month programs
- Assist with general business organization and task management initiatives
Requirements
- Excellent English communication skills, both written and verbal
- Highly organized with exceptional attention to detail
- Proven experience with email management and calendar coordination
- Proficiency with Google Workspace (Google Docs, Gmail, Google Calendar)
- Ability to work independently while managing multiple priorities
- Strong administrative skills and professional work environment
- Reliable internet connection for seamless remote collaboration
- Bonus if you have experience with ServiceTitan platform (home services industry software)
- It helps if you have previous experience supporting multiple executives or business partners
