Overview
We are seeking a highly organized and detail-oriented Admin, Operations & Procurement Coordinator to support daily administrative functions, internal operations, and procurement workflows.
This role combines executive-level administrative support with purchasing and vendor coordination responsibilities. The ideal candidate is structured, proactive, and process-driven, capable of managing inboxes, calendars, internal systems, procurement trackers, and vendor follow-ups with minimal supervision. This is an execution-focused role requiring strong organization, follow-through, and attention to detail.

Monthly Rate: USD 935

Schedule: Monday to Friday, 9:00 AM – 5:00 PM EST

Responsibilities
Administrative & Operations Support
- Triage and organize leadership inboxes
- Manage scheduling and calendar coordination
- Maintain CRM accuracy and data hygiene
- Ensure internal systems and records are organized and up to date
- Implement tasks and handoffs based on leadership directives
- Assist with documentation and workflow cleanup
Procurement & Vendor Coordination
- Place purchase orders (POs) with vendors as directed
- Track lead times and delivery schedules
- Follow up with vendors regarding order status, delays, or changes
- Update procurement details in Studio Designer (or similar system)
- Maintain and update the procurement tracker
- Flag issues, discrepancies, or delays for leadership review
- Support day-to-day purchasing operations
Requirements
- Strong organizational and administrative skills
- Excellent written communication skills
- Experience managing inboxes and calendars
- Familiarity with CRM systems
- Experience working with spreadsheets, trackers, or inventory tools
- Familiarity with Studio Designer or similar procurement systems (preferred)
- Ability to manage multiple tasks and deadlines
- Strong attention to detail
- Comfortable working independently in a remote environment
- Process-oriented with strong follow-through
Side Note
Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.
