Property Management Assistant

9am to 5pm Pacific time (Vancouver Time) with 1 Hour of Unpaid Break | 7 Hours Per Day, 35 Hours Per Week

Job Description: You’ll be the voice of a fast-growing property management company, handling critical tenant communications and ensuring excellent service delivery across a portfolio of 500+ residential properties. This role offers the unique opportunity to grow alongside a scaling startup, with the potential to evolve from part-time to full-time and eventually lead a larger customer service team as the company expands to 1,000+ properties.

Responsibilities:

  • Handle inbound phone calls and communications with residential tenants across a growing portfolio
  • Manage and respond to tenant tickets, inquiries, and service requests through ticketing systems
  • Coordinate repairs, maintenance requests, and emergency situations with vendors and contractors
  • Process emergency tenant needs including lockouts, urgent repairs, and after-hours issues
  • Support lease agreement processes, documentation, and tenant onboarding
  • Provide first-line customer service support and route complex issues to appropriate departments
  • Maintain professional communication standards and ensure excellent tenant experience
  • Support ticket management workflows and help optimize response processes as the team scales

Requirements:

  • Previous experience in property management, real estate, or residential rental operations
  • Strong customer service skills with professional phone manner and communication tone
  • Experience handling tenant relations, maintenance coordination, or property-related inquiries
  • Ability to manage emergency situations calmly and coordinate quick resolutions
  • Administrative skills and comfort with ticketing systems and property management software
  • Bonus if you have experience with long-term residential rental management
  • It helps if you’re familiar with lease agreements, tenant rights, and property maintenance processes
  • Bonus if you have experience in a fast-paced, growing business environment
