Job Description

You will support the accounting and administrative team by managing documentation, maintaining client records, assisting with Excel-based data processing, and supporting AI-enabled productivity tasks. This role is ideal for someone who is highly organized, comfortable with technology, and able to manage multiple administrative processes with accuracy.

You will work closely with the accounting team and leadership, helping streamline office administration, CRM updates, KYC support, and client coordination. This role provides strong exposure to UK professional services operations while offering opportunities to develop technical and administrative expertise.

Responsibilities

Microsoft Office & Documentation Support

    • Build, maintain, and update spreadsheets using advanced Excel formulas including lookups, conditional formulas, and pivot tables
    • Draft, format, and proofread professional documents, templates, and reports using Microsoft Word
    • Prepare PowerPoint presentations for internal and client-facing use
    • Support document formatting and data organization tasks

AI & Technology Support

    • Use AI productivity tools such as ChatGPT and Perplexity to assist with drafting emails, summaries, checklists, and presentations
    • Convert raw information into structured documents, guides, and workflow checklists
    • Assist with digital file organization, naming conventions, and documentation systems
    • Support general IT-related administrative processes

CRM & KYC Administration

    • Maintain and update client information within CRM platforms
    • Support Know Your Client (KYC) administration including collecting documentation, verifying completeness, and updating internal records
    • Assist with client onboarding documentation processes following internal compliance procedures

HMRC & Client Coordination Support

    • Contact HMRC when required to follow up on client tax matters using internal scripts and procedures
    • Record call outcomes accurately and update internal systems
    • Support communication tracking related to client tax or compliance queries

General Administrative Support

    • Maintain digital filing systems and organized document storage
    • Perform data entry and administrative workflow

    • Provide ad-hoc administrative support to accounting and operations teams
    • Assist with improving internal processes and workflow organization

Requirements

    • 3–5 years of experience in administrative, virtual assistant, or operations support roles
    • Experience working within accounting, legal, or professional services environments is highly preferred
    • Strong Excel skills including formulas such as VLOOKUP/XLOOKUP, IF statements, SUMIF, and pivot tables
    • Proficiency in Microsoft Word and PowerPoint for professional document preparation
    • Comfortable learning and using AI productivity tools such as ChatGPT or similar platforms
    • Experience working with CRM systems and client data management tools
    • Strong written and spoken English communication skills
    • Excellent attention to detail and accuracy
    • Ability to follow structured processes and work independently after training
    • Professional, confidential, and client-focused approach
