Operations Coordinator

Overview

The Operations Coordinator plays a key role in ensuring smooth day-to-day operations across all locations including facilities, supplies, and logistics. This role focuses on system management, vendor coordination, and process tracking to support internal teams and maintain operational efficiency.

Key Responsibilities

Facilities & Systems Management

    • Manage and maintain the Umbrava maintenance ticketing system, ensuring accuracy, accessibility, checking progress/invoices and ongoing optimization.
    • Monitor system usage and troubleshoot basic issues or coordinate resolutions with vendors or internal teams.

Print & Resource Coordination

    • Handle print requests, including intake, prioritization, vendor coordination, and delivery tracking.
    • Ensure printed materials meet quality standards and deadlines.
    • Coordination of delivery to stores and confirmation of install.

Process & Compliance Monitoring

    • Monitor and maintain operational checklists to ensure tasks are completed accurately and on schedule.
    • Identify gaps or inefficiencies in checklist processes and recommend improvements.

Supply & Inventory Management

    • Manage supply ordering, ensuring adequate stock levels across departments.
    • Track usage trends and proactively reorder to prevent shortages.
    • Maintain accurate inventory records.

Procurement & Vendor Platforms

    • Oversee Order.co management, including placing orders, tracking deliveries, reconciling invoices, and managing vendor relationships.
    • Ensure purchases align with budget guidelines and operational needs.

Shipping & Logistics

    • Coordinate shipping logistics, including outbound and inbound shipments.
    • Track shipments, resolve delivery issues, and communicate status updates to stakeholders.
    • Optimize shipping methods for cost, speed, and reliability.

Other Duties

    • Assist with other operational tasks associated with store openings & closings such as supply ordering, travel bookings, vendor coordination, & scheduling.

Qualifications

    • 1–3 years of experience in operations, coordination, or administrative support.
    • Strong organizational and multitasking skills.
    • Experience with procurement platforms (e.g., Order.co) or similar tools preferred.
    • Comfortable managing multiple vendors, timelines, and operational systems.
    • Detail-oriented with strong follow-through.
    • Proficient in Google Workspace or similar productivity tools.
