Property Operations Coordinator (Real Estate)

Role Overview:

We are seeking a proactive and detail-oriented Property Operations Coordinator to support a property management team. This role is crucial in ensuring seamless guest experiences and efficient property operations. You will coordinate bookings, oversee turnovers, manage guest communications, and liaise with housekeepers, maintenance personnel, and property owners.

Schedule:

  • Mondays to Fridays, 8:30 am to 4:30 pm (Australian Eastern Standard Time), with a 1-hour unpaid break (35 work hours per week)

Key Responsibilities:

  • Manage property turnovers, including cleaning and preparation for new guests
  • Process reservations and manage booking systems accurately
  • Submitting orders for linens, amenities, and cleaning supplies
  • Reviewing related invoices, such as suppliers and housekeeping
  • Provide exceptional customer service to guests, handling inquiries and resolving issues promptly
  • Monitor and respond to guest communications in a timely manner
  • Manage incoming and outbound calls, assess enquiries accurately, and determine appropriate escalation pathways when required to ensure timely resolution.
  • Coordinate with housekeepers, property owners, and maintenance personnel to ensure smooth operations
  • Track bookings, check-ins, and check-outs to maintain operational accuracy
  • Oversee housekeeping schedules and quality standards
  • Maintain accurate records of property operations, guest interactions, and housekeeping activities

Requirements:

  • Minimum of 2+ years of experience in property management, hospitality, vacation rentals, or customer service
  • Experience in a property management or rental operations role preferred
  • Comfortable managing operational tasks, including coordinating cleaning, supplies, and guest readiness
  • Familiarity with booking platforms, RMS, or property management systems is a plus
  • Strong verbal and written communication skills, with a professional client service approach
  • Close attention to detail and commitment to accuracy in records and operational processes
  • Excellent organizational and multitasking abilities
  • Ability to work independently, proactively identify operational needs, and follow through
  • Flexible and adaptable to manage varying workloads and respond to tenant/guest needs promptly

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
