Job Summary:
We are seeking a highly organized and detail-oriented Patient Representative & Administrative Support Specialist to join our team. The ideal candidate will provide excellent patient-facing support, manage scheduling and communications, perform administrative tasks, and contribute to analytical and operational improvements across the practice. This role requires collaboration with both on-site and virtual team members to ensure smooth daily operations and a positive patient experience.

Key Responsibilities:

  • Manage patient scheduling through the practice’s scheduling system, navigating complex insurance requirements and appointment rules.
  • Handle patient communications via Clara text messaging system and phone calls, addressing billing inquiries, appointment needs, and general questions.
  • Process face sheets by accurately entering patient information into the EMR system to prepare documentation for front desk staff.
  • Track and analyze Google reviews, creating reports and graphs to monitor and enhance practice reputation metrics.
  • Conduct various analytical tasks, including data collection from multiple sources (billing, Google Ads, patient flow) and generating actionable reports.
  • Cross-train across multiple practice functions to provide backup coverage and operational flexibility.
  • Collaborate with virtual team members to identify and implement process improvements and workflow optimizations.
  • Contribute to training development by documenting best practices and creating process guides for new team members.

Qualifications:

  • Experience in a healthcare administrative or patient services role preferred.
  • Familiarity with EMR systems and patient scheduling platforms.
  • Strong communication skills for interacting with patients via phone and text messaging.
  • Analytical mindset with the ability to collect, interpret, and report data from multiple sources.
  • Highly organized with the ability to manage multiple tasks and prioritize effectively.
  • Team-oriented with experience collaborating across on-site and virtual teams.

Skills:

  • Excellent attention to detail and accuracy in documentation.
  • Ability to troubleshoot patient scheduling and billing inquiries.
  • Strong reporting and data visualization skills (e.g., creating graphs and charts).
  • Adaptability and willingness to cross-train across different practice functions.
