Admin Assistant (ServiceM8 System)

Schedule: Monday to Friday, 9:00 AM – 5:00 PM (Clayton South, VIC time), with a 30-minute paid break
Total Weekly Hours: 40 Hours

 

Join a growing trade business specializing in water damage and mold remediation services across Melbourne. The company handles both emergency water damage response and scheduled remediation projects, making a real difference in helping property owners recover from disasters. You’ll be working with modern project management systems while supporting the full customer journey — from crisis to resolution.

You’ll become the administrative backbone of a dynamic trade business where your organizational skills directly impact customer satisfaction and business growth. This role offers the perfect blend of customer service, project coordination, and business administration. You’ll gain expertise in specialized industry software while developing strong workflow management skills within a supportive environment that values efficiency and growth.

 

Responsibilities

  • Handle customer inquiries via email and phone, gathering essential information for job scoping and quoting
  • Input approved jobs into the ServiceM8 project management system and organize workflow queues
  • Manage job progression through quote requests, scheduling, work order approvals, and completion tracking
  • Send pre-quoted invoices for completed remediation projects
  • Create and organize photo documentation albums in Google Photos for each job
  • Send professional acknowledgment emails to business clients, including real estate agents and commercial partners
  • Utilize ServiceM8 system functionality to support seamless business operations
  • Maintain professional email communications through Gmail with exceptional customer service standards

 

Requirements

  • Minimum of 3 years’ administrative or Virtual Assistant experience
  • Strong English communication skills (written and verbal)
  • Experience using ServiceM8 software
  • Proficiency with Gmail and Google Workspace applications
  • Strong organizational skills and attention to detail
  • Bonus: Experience with Xero accounting software
  • Customer service experience within trade or service industries is an advantage
