Service Dispatch Coordinator

Role Overview:
We are seeking a detail-oriented and highly organized Scheduling & Dispatch Coordinator to support our client's pool service operations. This role is responsible for efficiently scheduling pool technicians across various cities and suburbs throughout Australia, ensuring the right technician is assigned to the right location and service at the right time.
The ideal candidate has strong geographical awareness of Australian suburbs, is comfortable using digital maps and scheduling tools, and can manage multiple bookings with accuracy and efficiency. This role plays a critical part in maintaining service quality, technician productivity, and customer satisfaction.
Key Responsibilities:
Scheduling & Dispatch
- Coordinate and schedule pool technicians across multiple cities and suburbs in Australia.
- Assign the most suitable technician based on location, skill set, availability, and service requirements.
- Ensure accurate job allocation to minimise travel time and optimise daily routes.
- Adjust schedules as needed due to weather changes, urgent jobs, cancellations, or technician availability.
Geographical & Map-Based Coordination
- Use digital maps and routing tools to accurately plan technician schedules.
- Demonstrate strong knowledge of Australian suburbs and regional locations
- Verify service addresses and confirm correct suburb and location details before scheduling.
- Service Matching & Accuracy
- Review service requests to ensure the correct technician is assigned based on the type of pool service required (e.g., maintenance, repairs, inspections).
- Confirm job details, service scope, and timing to avoid scheduling errors.
- Maintain a high level of attention to detail to reduce rework and missed appointments.
Communication & Coordination
- Communicate clearly with technicians regarding schedules, locations, and job details.
- Liaise with internal teams and customers to confirm appointments and address changes.
- Provide timely updates to technicians and stakeholders when schedules are adjusted.
Administrative Support
- Maintain accurate scheduling records and job logs.
- Ensure all bookings are properly documented in the system
- Support reporting and operational tracking as required.
Required Skills & Qualifications:
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Familiarity with Australian cities and suburbs is highly preferred.
- Confident using digital maps, scheduling systems, and basic office tools.
- Ability to manage multiple schedules and priorities simultaneously.
- Strong communication skills, both written and verbal.
- Ability to work independently and make sound scheduling decisions.
Preferred Experience:
- Previous experience in scheduling, dispatch, logistics, or workforce coordination.
- Experience working with field technicians or service-based businesses.
- Familiarity with service industries such as maintenance, trades, or home services is an advantage.
