Personal Assistant (Scheduling & Admin)
Schedule: Monday to Friday, 10:00 AM – 2:00 PM (EST)

Built from the ground up over the past year, this organization is in an exciting growth phase, establishing new systems and expanding its reach while maintaining a strong mission-driven focus on serving the community.
You’ll be the organizational backbone for a dedicated Executive Director who is passionate about making a difference. This role offers a unique opportunity to support both professional and personal needs, helping streamline operations so the Executive Director can focus on mission-critical work such as fundraising, events, and community programming. You’ll bring structure to a dynamic environment where every task you manage directly contributes to the organization’s ability to serve others more effectively.
Responsibilities
- Manage and coordinate both business and personal calendars to eliminate scheduling conflicts and overlapping appointments
- Schedule appointments, including personal commitments such as medical visits and other obligations
- Handle delegated administrative tasks with reliability and attention to detail
- Provide organizational support to help manage multiple roles and responsibilities in a small nonprofit environment
- Coordinate scheduling to ensure proper time allocation between meetings, events, and strategic priorities
- Assist with administrative tasks that free up executive time for fundraising and community programming
- Support the implementation of new organizational systems and processes as the nonprofit continues to grow
Requirements
- Strong organizational and time management skills with proven ability to manage complex calendars
- Experience coordinating schedules and preventing appointment conflicts
- Comfortable handling both professional and personal administrative tasks with discretion
- Reliable internet connection and ability to work effectively in a remote environment
- Professional approach to managing confidential and personal information
- Nonprofit or mission-driven organization experience is a plus
- Flexibility to accommodate time zone differences is an advantage
