Job Description:
You will play a critical role in supporting the CEO’s day-to-day operations, strategic priorities, and external communications. This position is designed for a highly organised and proactive professional who can serve as a trusted right hand to executive leadership.
The role combines executive assistance, operational coordination, investor communications, and administrative project support. You will help streamline workflows, coordinate key stakeholder interactions, and support business functions, including recruitment, grant administration, and CRM management. Responsibilities:
Executive & Administrative Support
- Manage the CEO's calendar, scheduling, and reminders while coordinating complex meeting arrangements across multiple time zones
- Act as primary gatekeeper for CEO email communications, filtering messages, drafting responses, and prioritising correspondence
- Organise and coordinate business travel, including flights, accommodations, and transportation logistics
- Prepare meeting agendas, documentation, and follow-up summaries
- Provide daily administrative and operational support to improve executive efficiency
Investor Relations & Communications
- Assist in drafting and formatting shareholder and investor updates
- Support preparation and editing of pitch decks, executive presentations, and investor summaries
- Coordinate PR activities, including newsletter creation, social media scheduling, and brand communications support
Commercial & Operational Support
- Maintain and update CRM systems, ensuring investor, partner, and stakeholder records remain accurate
- Support grant administration processes, including documentation tracking and submission coordination
- Assist recruitment coordination, including scheduling interviews, candidate communication, and documentation management
- Support cross-functional coordination with commercial, marketing, and clinical stakeholders
- Assist in implementing and maintaining operational systems and workflows
Requirements:
- Proven experience as an Executive Assistant, Personal Assistant, or senior administrative support professional
- Strong organisational and time-management skills with the ability to prioritise multiple high-level tasks
- Excellent written and verbal English communication skills with strong professional email and document drafting ability
- Experience supporting executive-level stakeholders and managing confidential information
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Familiarity with CRM platforms such as HubSpot or similar tools
- Experience with collaboration and communication platforms (Slack, Zoom, or equivalent)
- Strong attention to detail and ability to work independently in a fast-paced environment
- Experience supporting investor communications, PR coordination, or grant administration is highly desirable
