Construction Bookkeeper (Xero)

This is a construction-focused accounting support role, not a generic VA or junior bookkeeping position. The successful candidate will support day-to-day construction accounting, job costing, WIP reporting, invoicing, and financial administration, working closely with the Managing Director, General Manager, and Contract Administration function.

We are specifically seeking someone who is highly motivated, driven, and holds themselves to high personal standards. This role suits a professional who is disciplined, detail-driven, and confident working with construction financial data.

The ideal candidate is proactive, self-sufficient, highly capable in Xero and Excel, comfortable running accounting tasks end-to-end, confident working without micromanagement, timeline- and organization-driven, strong on follow-through and closing tasks, and capable of creating, understanding, and maintaining WIP reports. This person values ownership, structure, and accuracy.

Responsibilities

  • Manage day-to-day bookkeeping in Xero
  • Maintain accurate job costing across projects
  • Prepare, update, and interpret Work in Progress (WIP) reports
  • Ensure WIP aligns with job costs, progress claims, and variations
  • Track committed vs actual project costs
  • Process supplier and subcontractor invoices
  • Match invoices to purchase orders, approved costs, and variations
  • Reconcile supplier statements and resolve discrepancies
  • Assist with client invoicing, progress claims, and variation invoicing
  • Track accounts receivable and follow up outstanding payments
  • Assist with payroll processing where required
  • Support BAS and GST preparation (administrative support only)
  • Maintain structured financial filing and archiving systems
  • Document accounting workflows and contribute to finance playbooks

Mandatory Experience & Skills (Non-Negotiable)

  • Minimum 3+ years experience in construction accounting or bookkeeping
  • Experience supporting residential construction businesses
  • Advanced Xero proficiency (essential)
  • High-level Excel competency (WIP, job costing, reconciliations)
  • Demonstrated ability to prepare and interpret WIP reports
  • Strong understanding of job costing, progress claims, and variations
  • Excellent written and verbal English
  • Highly organized with exceptional attention to detail
  • Able to work independently in a remote environment

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
