You’ll work directly with the clinic owner to ensure smooth daily operations while driving new patient growth.
Job Description:
You’ll be the operational backbone of a busy medical practice, splitting your time between essential administrative tasks and strategic sales activities. This role offers the unique opportunity to work in healthcare while developing both your administrative and sales skills. You’ll have a direct impact on patient experience and clinic growth, working flexible hours that maximize your effectiveness during key business periods.
Responsibilities:
- Manage email communications and patient correspondence with professionalism and care
- Operate and optimize CRM systems, specifically the Timely platform used for patient management
- Handle inbound patient inquiries, appointment scheduling, and follow-up communications
- Conduct outbound calls for patient follow-ups and administrative coordination
- Execute sales activities including cold calling potential patients during evening hours
- Send targeted marketing emails to prospects and manage lead nurturing campaigns
- Perform general office management tasks to support clinic operations
- Track performance against established KPIs and provide regular updates to clinic leadership
Requirements:
- Experience with CRM systems, preferably Timely or similar healthcare/appointment platforms
- Strong communication skills for both patient service and sales conversations
- Comfortable with split schedule work (morning admin, evening sales calls)
- Professional phone manner suitable for medical office interactions
- Ability to work independently and manage multiple priorities effectively
- Bonus if you have healthcare or medical office experience
- It helps if you have previous cold calling or sales experience
