Administrative Assistant

Schedule: Part Time. - 20h per week - Mon - Fri 8:30-12:30 EST

Job Description: 

You’ll serve as the right-hand administrative support to the CEO of a thriving consulting practice, playing a crucial role in delivering exceptional client experiences. This is an opportunity to work in a collaborative, small-team environment where your contributions directly impact client satisfaction and business operations. You’ll handle a diverse mix of backend administrative work and client-facing responsibilities, with room to grow and take on additional challenges as the business expands.

Responsibilities:

  • Manage executive calendar and coordinate scheduling across multiple time zones
  • Provide follow-up support after coaching sessions to ensure client satisfaction and next steps
  • Create and format professional training materials and PowerPoint presentations
  • Handle client outreach and follow-up communications via phone and email
  • Manage backend operations for virtual training sessions including Zoom administration and chat monitoring
  • Make reminder calls to clients about upcoming events and sessions
  • Start and facilitate Zoom calls when needed, including client-facing responsibilities
  • Support CRM management and data entry using Go High Level platform
  • Provide general administrative support across various business functions

Requirements:

  • Excellent English communication skills with clear, professional accent
  • Strong proficiency in Microsoft PowerPoint and Word
  • Professional appearance and demeanor for video conference calls
  • Comfortable with client-facing interactions including phone calls and video meetings
  • Strong organizational and multitasking abilities with attention to detail
  • Reliable internet connection and professional home office setup
  • Bonus if you have experience with CRM systems (Go High Level or similar platforms)
  • It helps if you have previous experience in consulting, coaching, or professional services environments
