Our client is seeking an organized and proactive Sales & Administration Assistant to support the founder of a premium investment migration advisory firm.
In this role, you will act as the critical link between inbound client inquiries and the founder’s sales pipeline, ensuring no lead is missed and day-to-day operations run smoothly. Your primary mission is to manage inbound leads, qualify prospects, coordinate scheduling, and provide administrative support—freeing the founder to focus on high-value client strategy and business growth.

Responsibilities
Sales & Pipeline Support

Serve as the first point of contact for inbound client inquiries, screening and qualifying leads with professionalism and discretion

Conduct timely and consistent follow-ups via email and phone to book consultations for the founder

Manage the founder’s calendar, scheduling, confirming, and coordinating all prospect and client meetings
Administration & Coordination

Maintain accurate and up-to-date records in the CRM, ensuring all client interactions are properly logged

Provide light administrative support, including:

Updating client tracking documents

Preparing basic meeting briefs

Coordinating with internal teams on next steps and process requirements

Assist with drafting routine client communications and organizing sales and presentation materials
What Success Looks Like (First 3–6 Months)

All inbound leads are responded to and actioned within agreed service timeframes

CRM records are impeccably maintained, providing a clear and real-time view of the sales pipeline

The founder’s calendar runs efficiently with a steady flow of qualified prospect meetings

The founder can confidently rely on you to manage operational and administrative tasks, allowing full focus on client consultations and business development
Requirements

1–2 years of experience in an administrative, sales support, or executive assistant role

Experience in financial services, legal, luxury services, or professional advisory firms is a strong advantage

Exceptionally organized with strong attention to detail and respect for confidentiality

Confident, professional communicator capable of engaging high-net-worth individuals

Proactive, solution-oriented mindset with the ability to anticipate needs

Comfortable working closely with a founder in a day-to-day support role

Proficiency with CRM systems (e.g., HubSpot, Salesforce) and Microsoft Office or Google Workspace
