Job Overview

We are seeking a detail-oriented Legal Operations Assistant to support a growing family law practice. This role will initially focus on data cleanup, case setup, and system organization, then expand into AI-powered workflows and process automation within the firm’s case management system. You will support 1–2 attorneys, manage calendars, emails, and legal dockets, and help ensure all filings and deadlines are accurately tracked.

Scope:

  • Position supporting family law practice operations
  • Primary focus initially on data cleanup and system organization
  • Expanding scope to include AI tool utilization and workflow automation
  • Supporting 1-2 attorneys with potential for growth as firm expands
  • Working with proprietary legal software requiring potential licensing
  • Opportunity to contribute to process optimization and efficiency improvements
  • Long-term role with potential for increased responsibilities as firm grows
  • Monday to Friday 8:30 to 5:00 PM EST with 30 mins unpaid break

Responsibilities:

  • Perform initial data entry for new cases, ensuring accurate spelling of all parties’ names, court information, judge and judicial assistant details, opposing counsel information, and client details including children’s birthdays and social security numbers
  • Manage calendar scheduling for the Legal Director and potentially one additional attorney being hired in the new year
  • Triage and manage email communications for the Legal Director, identifying priority items and filtering out non-essential correspondence
  • Process electronic service documents daily, ensuring all new filings are properly calendared with appropriate deadlines and color-coded according to internal systems
  • Maintain and manage the legal docket for all active court cases, ensuring no deadlines are missed
  • Leverage the firm’s AI tools built into the Smokeball system to create improved workflows and processes
  • Automate document templates within the Smokeball case management system once initial data cleanup is completed
  • Provide process improvement suggestions based on experience and best practices

Requirements:

  • DEVICE MUST HAVE WINDOWS OS (Mac users cannot be accommodated due to Smokeball compatibility requirements)
  • Experience with case management systems, preferably Smokeball or similar legal software
  • Strong attention to detail for accurate data entry and case information management
  • Excellent organizational skills for calendar and email management
  • Familiarity with legal terminology and court procedures
  • Experience with electronic filing systems and legal document processing
  • Ability to work independently and suggest process improvements
  • Strong communication skills for email triaging and client interaction support
