HR & Payroll Specialist
Position Overview
We are seeking an experienced HR & Payroll Specialist to support hiring, onboarding, payroll administration, and employee relations. This is a role (approximately 20 hours per week), with the possibility of increased hours (up to 40 per week) during the initial onboarding and system setup period.
The ideal candidate is detail-oriented, organized, and experienced in payroll and HR operations, with the ability to support multiple locations and maintain compliance with employment regulations.
Key Responsibilities
1. Hiring & Staffing

Create, maintain, and standardize job descriptions for front-of-house, back-of-house, and management roles.

Post job openings and manage applicant flow.

Coordinate interviews with General Managers.

Conduct background checks where applicable.

Maintain a pipeline of pre-screened candidates.
2. Onboarding & Training

Manage new-hire onboarding in payroll systems, including W-4, I-9, and direct deposit setup.

Coordinate orientation and first-week scheduling.

Track required training and certifications.

Maintain role-based training standard operating procedures (SOPs).
3. Payroll Administration

Prepare and process payroll for all locations using payroll software.

Import, review, and verify time punches from time-tracking systems.

Manage PTO accruals, sick time, and holiday policies.

Process new hires, terminations, and final paychecks.

Coordinate benefits enrollment and payroll deductions.

Ensure payroll accuracy and compliance with applicable wage and hour laws.

Submit payroll for final approval by ownership prior to processing.

Resolve payroll discrepancies and employee pay issues.
4. Employee Relations & Performance Management

Serve as the first point of contact for employee relations matters.

Support managers with documentation, disciplinary actions, and terminations.

Ensure consistent application of disciplinary procedures.

Conduct exit interviews and identify retention trends.
5. Compliance & Risk Management
-
Maintain and update the employee handbook.

Ensure compliance with labor, wage, and overtime laws.

Manage unemployment claims and workers’ compensation documentation.

Maintain personnel files and required employment records.
6. Culture & Retention
-
Support company culture and operational standards across locations.

Assist with performance reviews and promotion tracking.

Develop and support retention initiatives and employee recognition programs.
Internal Controls
-
Payroll preparation handled by HR / People Operations.
-
Final payroll approval retained by ownership.

No compensation changes permitted without written authorization.
Qualifications

Proven experience in HR and payroll administration.

Strong knowledge of payroll systems and time-tracking tools.

Solid understanding of labor and wage compliance.

High attention to detail and confidentiality.

Ability to work independently and manage multiple priorities.
