Senior Full Charge Bookkeeper

Schedule:

  • 40 hours per week

  • Monday through Friday, 9:00 AM - 6:00 PM Central Time

 

Role Overview:
This role requires a highly detail-oriented and experienced Full Charge Bookkeeper to manage all aspects of financial transactions, reporting, and compliance. The ideal candidate is independent, trustworthy, efficient, and extremely competent, with the ability to operate accurately under pressure while collaborating closely with the owner, CPA, and internal teams.


Key Responsibilities


1. Full-Cycle Bookkeeping
Manage Accounts Payable and Accounts Receivable, including invoicing, payment processing, and collections
Ensure all sales representatives close out and invoice all sales orders monthly
Follow up with customers via email and phone for late payments
Reconcile bank and credit card statements monthly
Maintain and reconcile the general ledger with accuracy and timeliness
Learn and become highly proficient in Odoo (Accounting Module) and use QuickBooks Online when required


2. Financial Reporting & Cash Flow
Prepare monthly, quarterly, and annual financial statements (P&L, Balance Sheet, Cash Flow)
Assist with budgets and financial forecasts
Maintain and update the Cash Flow Forecast module daily
Communicate financial reports and insights to the owner and offsite CPA
Manage employee expense claims and petty cash


3. Payroll Management
Process payroll through ADP and ensure compliance with tax and labor regulations
Maintain accurate employee payroll records and respond to payroll-related inquiries
Participate in decision-making if payroll is brought in-house in the future


4. Tax & Compliance
Prepare and file sales tax, payroll tax, and other required tax filings
Assist with year-end tax preparation
Liaise with external accountants and tax professionals


5. Data & Systems Management
Maintain accurate, organized, and up-to-date financial records
Implement and manage accounting systems to improve efficiency and accuracy


6. Financial Analysis
Conduct ongoing financial analysis to identify trends, variances, and cost-saving opportunities
Provide financial insights to support business decisions


7. Insurance & Property Taxes
Manage and ensure timely payment of all insurance policies
Communicate with insurance brokers regarding coverage and payments
Handle annual property tax payments


8. Banking & Mail Management
Handle, record, and reconcile all deposits
Maintain relationships with company banks and address financial needs or issues
Visit the bank when necessary
Manage mail (digital and physical) and maintain proper filing systems


9. HR & Administrative Support
Onboard and offboard employees and contract laborers
Coordinate with ADP on employee legal matters (with support from supervisors/owner)
Handle workers’ compensation claims
Manage annual benefits enrollment
Support and work with auditors (city, state, federal, insurance, workers’ comp)


Qualifications

5+ years of experience as a Full Charge Bookkeeper or similar role
Strong knowledge of accounting principles and regulations
Proficiency in accounting software (QuickBooks, Xero, Odoo preferred)
Advanced Excel and Microsoft Office skills
Highly organized with exceptional attention to detail
Ability to manage multiple priorities independently in a fast-paced environment
Strong analytical, problem-solving, and communication skills
Able to perform effectively under pressure
