Job Description:
You’ll be the operational backbone of a growing medical practice, working directly with the practice owner to deliver exceptional patient experiences. This role offers the rare opportunity to shape processes, grow with the business, and make a real impact on patient care. You’ll receive extensive training in your first month and have clear paths for advancement as the practice scales.
Responsibilities:
- Manage incoming patient calls and provide exceptional customer service
- Coordinate patient appointments and scheduling across multiple service lines
- Liaise with medical specialists and manage patient referral processes
- Handle administrative tasks including patient records and practice management
- Execute light marketing activities to support practice growth and patient acquisition
- Organize and maintain efficient workflows for concierge and regenerative medicine services
- Support the practice owner with executive-level administrative tasks
- Collaborate independently while maintaining high standards of patient care
- Adapt and learn healthcare-specific processes and terminology quickly
Requirements:
- At least two years of recent EA experience
- Background in hospitality, marketing, or customer service (healthcare experience is a plus, not required)
- Strong sales and marketing experience is a big plus
- Strong communication skills for patient and specialist interactions
- Ability to work independently after the initial training period
- Professional demeanor suitable for high-end medical services
- Willingness to undergo comprehensive training and skill development
- Adaptability to learn new processes and medical terminology
- Bonus if you have experience in appointment scheduling or administrative coordination
- It helps if you’re comfortable with technology and learning new software systems
