Administrative Assistant

Schedule: Monday to Friday 8am to 5pm with 1 hour unpaid break

Client Timezone: CST

Total weekly hours: 40 Hours

 

 You’ll own the communications backbone of two complementary businesses, ensuring seamless client experiences and operational efficiency. This role puts you at the center of business development, client relationship management, and administrative excellence. You’ll work directly with the business owner and coordinate across multiple platforms to keep both companies running smoothly while supporting growth initiatives.

 

Responsibilities:

  • Manage scheduling and appointment coordination across 3 different CRM systems
  • Handle social media posting and respond to incoming messages across platforms
  • Conduct LinkedIn cold outreach and convert leads into scheduled appointments
  • Route client email correspondence to appropriate team members and departments
  • Coordinate resume reviews and facilitate appointment scheduling processes
  • Support advertising and marketing initiatives with administrative tasks
  • Ensure proper communication flow between clients and internal teams
  • Maintain organized systems for client information and follow-up processes

 

Requirements:

  • Strong written and verbal communication skills for client-facing interactions
  • Experience with CRM systems and appointment scheduling platforms
  • Social media management experience with posting and message management
  • LinkedIn outreach and lead generation capabilities
  • Email management and organizational skills
  • Ability to work independently and prioritize multiple tasks
  • Bonus if you have experience with bookkeeping or financial services
  • It helps if you’re comfortable working with coaching or consulting businesses
