Property Management Collections Specialist

Schedule: 40 hours per week, Monday to Friday 10am to 7pm EST with one hour of unpaid break

Job Description: 

You’ll own one of the most important functions in property management – ensuring timely rent collection from over 1,000 tenants. This isn’t just about making calls; you’ll be the strategic problem-solver who builds relationships, navigates sensitive financial conversations, and directly impacts the company’s revenue stream. You’ll work with modern property management systems and have the autonomy to develop efficient collection processes that make a measurable difference.

Responsibilities:

  • Make strategic outbound calls to delinquent tenants to secure overdue rent payments
  • Maintain consistent follow-up schedules with tenants who have outstanding balances
  • Read and analyze previous delinquency notes to understand tenant's payment history and arrangements
  • Document all tenant interactions with comprehensive notes in the property management system
  • Update delinquency records after each contact with accurate, actionable information
  • Coordinate with property managers on tenant payment arrangements and special circumstances
  • Build and maintain organized tracking systems for all collection activities
  • Generate reports on collection performance and tenant communication outcomes

Requirements:

  • Energetic, proactive personality with strong initiative and drive
  • Excellent verbal communication skills with professional phone presence
  • Highly organized approach to documentation and record-keeping
  • Ability to read, understand, and build upon detailed interaction histories
  • Strong interpersonal skills for handling sensitive financial conversations with empathy
  • Fluent English with clear pronunciation for effective tenant communication
  • Experience with property management software (AppFolio experience is a bonus if you have it)
  • Ability to work independently while maintaining consistent performance standards
