Leasing Operations Assistant

Job Description:

As a Leasing Operations Assistant, you will provide administrative and operational support across leasing, marketing, maintenance coordination, and tenant documentation. This role requires strong organisational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced property management environment. You will assist with leasing documentation, marketing vacant units, preparing notices, and maintaining accurate property records.

Client Overview:

Join a property management operation overseeing a large residential portfolio of 300+ apartment units. This role supports leasing, tenant communication, documentation, and day-to-day administrative operations. You’ll work closely with ownership and management to ensure smooth leasing processes, accurate documentation, and timely support across multiple properties.

Schedule:

  • Wednesdays to Sundays, 12:00 pm to 5:00 pm Eastern Time (25 hours per week)

Responsibilities:

  • Provide administrative support for leasing and property management operations

  • Prepare estimates and documentation related to roofing and maintenance costs

  • Assist with marketing vacant units across listing platforms and marketing channels

  • Prepare and manage 3-day notice documents and other tenant communications

  • Retrieve, organise, and maintain property-related documents and records

  • Coordinate documentation for maintenance, vendors, and property updates

  • Support general day-to-day operational and administrative tasks

  • Ensure records are accurate, up to date, and easily accessible

Requirements:

  • Experience in administrative support, accounting, leasing, or property management

  • Proficiency in QuickBooks and Appfolio
  • Strong organisational skills and attention to detail

  • Ability to manage multiple tasks and deadlines independently

  • Comfortable preparing documents and handling tenant-related paperwork

  • Strong written communication skills

  • Basic understanding of property management workflows preferred

  • Reliable internet connection and professional remote work setup

Bonus if you have:

  • Experience working with multi-unit residential properties

  • Familiarity with maintenance estimates or vendor coordination

  • Experience with listing platforms or basic property marketing
