Spanish Bilingual Project Management & Administrative Assistant

Schedule: 40 hours per week, Monday to Friday 9am to 6pm Gulf Standard time

Client Timezone: Dubai Time (UAE)

Job Description: You’ll be the central coordination hub for an exciting retail business experiencing rapid growth. This role combines the best of both worlds – handling essential day-to-day operations while leading major product launches that directly impact business success. You’ll work directly with leadership to manage everything from supplier relationships to photo shoot coordination, ensuring nothing falls through the cracks as the company scales. This is perfect for someone who thrives in fast-paced retail environments and wants to make a tangible impact on business growth.

Responsibilities:

  • Create invoices for products sold through retail partners on a consignment basis

  • Manage inventory tracking using automated Excel templates and systems

  • Place B2B orders when needed

  • Send delivery notes when stock is delivered to retail locations

  • Track customer deliveries on our dashboard and liaise with the warehouse via email if there are any issues or delays in delivery 
  • Organize and maintain document filing systems in Google Drive

  • Update and manage contract templates, particularly for influencer marketing partnerships

  • Research and maintain supplier pricing comparisons and records

  • Manage product launch timelines using Gantt charts and project management tools

  • Coordinate all aspects of product launches, including design, packaging, supplier orders, and production status

  • Organize photo shoots, including finding studios, benchmarking prices, and managing bookings

  • Manage model database and coordinate availability for shoots

  • Serve as a central coordination point between the social media team, creative teams, and operations

  • Ensure all marketing materials and advertisements are ready and aligned with launch timelines

  • Monitor project deadlines and proactively address any delays or issues

Requirements:

  • Excellent English and Spanish writing and communication skills for supplier and vendor correspondence
  • Strong organizational abilities and experience with project management methodologies
  • Proficiency with Excel, Google Drive, and basic office software
  • Detail-oriented with ability to manage multiple projects simultaneously
  • Proactive communication style and ability to work independently
  • Retail or e-commerce experience preferred
  • Bonus if you have experience with Gantt charts or project management tools
  • It helps if you’re familiar with influencer marketing or social media coordination
