CRM & Outreach Coordinator

Schedule: Part-time (20 hours per week) - Monday through Friday, 1pm - 5pm Mountain Time (Phoenix)

Job Description: 

You’ll be the organizational backbone of a rapidly expanding recognition platform that helps small businesses gain visibility and community support. This role offers the perfect blend of structured processes and meaningful impact – you’ll follow clear SOPs while contributing to programs that genuinely celebrate and elevate local entrepreneurs. With comprehensive training, performance bonuses, and a clear path from part-time to full-time, you’ll grow alongside a company that’s scaling across the entire United States market.

 

Responsibilities:

  • Perform data entry into HubSpot CRM system, maintaining 80% field completion accuracy across all business accounts
  • Execute cold outreach campaigns to local businesses using pre-written email templates and structured follow-up sequences
  • Manage voting processes and nomination workflows for participating businesses in award programs
  • Schedule promotional emails and follow-up campaigns according to established decision trees and timelines
  • Create and update detailed business profiles in the system with comprehensive contact and business information
  • Follow structured SOPs and daily checklists to maintain system organization and workflow efficiency
  • Process 20 leads and emails per day initially, scaling to 50-65 per day at full operational capacity
  • Report daily progress metrics and maintain organized records for program tracking
  • Handle nomination fee processing and voting portal management for award participants

 

Requirements:

  • Strong attention to detail and ability to follow written instructions precisely without deviation
  • Comfortable performing repetitive, process-driven tasks while maintaining accuracy and quality standards
  • Experience with CRM systems (HubSpot preferred, but other CRM platforms acceptable and trainable)
  • Ability to work during CST business hours with reliable availability for training and collaboration
  • Self-motivated work style with ability to operate independently using provided resources and documentation
  • Bonus if you have WebFlow experience (fully trainable but helpful for minor website updates)
  • It helps if you have cold outreach or email campaign experience (templates and processes provided)
  • Openness to expanding from part-time to full-time role after demonstrating successful performance
