Patient Referral Clerk – eClinicalWorks (eCW)

Shift Schedule: 8AM-5PM PST, Monday through Friday

Reports to: Clinic Manager / Referral Supervisor

Position Summary
The New Patient Referral Clerk is responsible for managing and coordinating all incoming referrals for the pain management clinic. This role ensures referrals are complete, verified, authorized when required, accurately entered into eClinicalWorks (eCW), and scheduled efficiently to support timely patient access to care. The position is critical for maintaining compliance, optimizing provider schedules, and delivering an excellent patient experience.

Key Responsibilities
Referral Intake & Processing
  • Receive and review incoming referrals (fax, electronic, portal, or direct provider communication)
  • Verify referral completeness, including:
    • Diagnosis and reason for referral
    • Referring provider information
    • Supporting clinical notes, imaging, and reports
  • Identify missing or incorrect information and follow up with referring offices promptly
  • Enter and track referrals accurately in eClinicalWorks (eCW)
Insurance & Authorization Coordination
  • Verify insurance eligibility and benefits related to pain management services
  • Determine if prior authorization is required based on payer and procedure type
  • Initiate authorization requests and track approval status
  • Communicate authorization requirements and updates to patients and providers
  • Document all authorization activity in eCW
Scheduling & Patient Communication
  • Contact new patients to explain the referral process and next steps
  • Schedule new patient appointments according to provider protocols and referral type
  • Ensure appointments are scheduled only after all referral and authorization requirements are met
  • Provide clear instructions to patients regarding appointment expectations, required documentation, and arrival times
  • Maintain professional, compassionate, and clear communication at all times
Documentation & EMR Management (eCW)
  • Maintain accurate and up-to-date referral records in eClinicalWorks
  • Upload and properly index all referral documents, imaging, and reports
  • Ensure referrals are linked to the correct appointment and provider
  • Add internal notes and referral status updates for team visibility
Compliance & Quality Assurance
  • Ensure all referral processing complies with HIPAA and clinic policies
  • Maintain confidentiality of patient health information at all times
  • Follow pain management-specific referral guidelines and documentation requirements
  • Assist with audits by ensuring referral documentation is complete and organized
Coordination & Team Support
  • Collaborate with providers, medical assistants, billing, and front desk staff
  • Communicate delays, issues, or trends affecting referral flow
  • Support clinic productivity by ensuring referral backlogs are minimized
  • Assist with additional administrative tasks as assigned
Required Qualifications
  • High school diploma or equivalent (required)
  • Minimum 1 year of healthcare administrative or referral experience (pain management preferred)
  • Experience working with eClinicalWorks (eCW) strongly preferred
  • Knowledge of medical terminology related to pain management
  • Familiarity with insurance verification and prior authorization processes
Preferred Qualifications
  • Prior experience in a pain management, orthopedic, neurology, or specialty clinic
  • Understanding of imaging requirements (MRI, CT, X-ray) for pain management referrals
  • Bilingual (English/Spanish) a plus
