Position Overview
Sales associate is responsible for managing new leads, conducting introductory calls, and ensuring accurate tracking and follow-up within the CRM and scheduling systems. This role requires excellent communication, attention to detail, and the ability to coordinate between multiple team members and offices.
Key Responsibilities:
- Alerts and Notifications
- Monitor and respond to alerts received via email and text for new form submissions or lead activity.
- Opportunity Record Management
- Create and maintain Opportunity records for all new leads.
- Ensure Opportunity names follow the correct format
- Intro Call Execution
- Conduct Intro Calls following established guidelines using a provided script
- Update Lead Status appropriately before, during, and after calls.
- Send manual follow-up emails using approved templates.
- Update Practos notes section with details of call
- Contact and Opportunity Updates
- Maintain accurate contact information, including:
- Lead Status
- Preferred Physician
- Preferred Location
- Number of children and expecting status
- Due Date, if applicable
- Opportunity Source
- Update Opportunity records to reflect lead progression and pipeline stage.
- Maintain accurate contact information, including:
- No Show and Follow-Up Management
- Track leads who do not respond to scheduled calls or automated messages.
- Update Lead Status to Intro - No Show and perform manual follow-up as needed.
- Scheduling and Coordination
- Schedule appointments and follow-ups in the applicable doctor's calendar.
- Coordinate with doctors and MAs to ensure coverage and proper follow-up.
- New Patient Onboarding
- If the lead joins:
- Update Doctor and Location assigned.
- Update Lead Status to Joined.
- Ensure completion of New Patient forms, Spruce setup, and related tasks.
- Update Date of Enrollment.
- If the lead does not join:
- Update Lead Status to M&G Completed - Not Joining.
- Update Contact Type to Past Patient.
- Record Unenrollment Date and Reason for Leaving.
- If the lead joins:
- Long-Term Lead Management
- Identify unresponsive contacts after two months and update the New Pipeline Stage to Abandoned.
- Ensure workflows automatically update the New Pipeline based on Lead Status.
- Workflow Integration
- Monitor automated workflows that update Business Practice.
- Receive alerts for all new internal or web form submissions.
Qualifications:
- Strong organizational and English communication skills.
- Must have experience with CRM systems, including terminology and troubleshooting (client uses Practos)
- Ability to manage multiple priorities and follow up diligently.
- Detail-oriented and able to maintain accurate records.
