Role Overview:
We are seeking an experienced Medical Practice Coordinator to support our company in managing patient scheduling, insurance verification, billing support, and general office coordination. This role requires someone with strong knowledge of the healthcare environment, excellent communication skills, and the ability to work independently while thinking proactively to support smooth clinic operations.
Key Responsibilities:

Manage patient inquiries via phone and email professionally and promptly

Oversee patient scheduling, including auditing daily schedules to maximize paying patients and verify insurance coverage

Conduct insurance verification and obtain necessary authorizations, with an understanding of nuanced insurance policies

Collect co-pays and assist with billing support tasks

Handle data entry, maintain accurate records in Excel and Electronic Medical Records (EMR) systems (Tebra and Practice Fusion preferred)

Support the intake process by ensuring patients complete required forms and understand next steps

Collaborate with the office manager and other team members to handle high call volumes and operational needs

Process medical records and provide light technical support for phone systems (Eight by Eight)

Communicate proactively about workload, scheduling, and task completion without needing constant supervision
- Work occasional weekends (approx. 4 hours twice a month) as needed to support clinic operations
Requirements:

Experience in a medical or healthcare administrative role, ideally within a busy practice or clinic environment

Familiarity with insurance verification and patient billing processes

Ability to interpret insurance policies and communicate clearly with patients and insurance providers

Strong organizational skills and attention to detail, with the ability to audit schedules and follow up on patient appointments

Excellent English communication skills, both written and verbal, to interact sensitively with patients from a US-based patient population

Comfortable using EMR systems (experience with Tebra and Practice Fusion is a plus, but not mandatory)

Self-motivated, proactive, and capable of thinking “outside the box” to improve workflows and patient experience

Availability to work flexible hours primarily during weekdays, with potential weekend shifts twice a month

Understanding of HIPAA compliance and strong commitment to patient privacy
