Client Communications & Administration Specialist

Job Highlights:

Candidate-facing description:

This role is primarily focused on client communication and day-to-day administrative support. You’ll be the person making sure messages are answered on time, clients feel guided, and the clinic team stays informed throughout the day.

 

Alongside this, you’ll also support simple content creation tasks using photos and videos provided by the team. The focus is not on managing social media strategies, but on helping keep the brand active and visible with clear guidance and structure.

 

This position is ideal for someone organized, calm, and communicative, who also enjoys light creative work.

 

Key Responsibilities:

Primary Focus – Client Communication & Admin Support

  • Manage incoming client messages across WhatsApp, email, and social DMs
  • Respond to enquiries, confirmations, and time-sensitive updates throughout the day
  • Support clients arriving at the clinic and relay updates to the internal team
  • Keep inboxes organized and ensure urgent messages are prioritized
  • Assist with appointment-related communication and basic admin tasks

Secondary Focus – Content Support

  • Edit and post simple content using pre-approved photos and videos
  • Create basic visuals or short clips following brand guidelines
  • Support posting on Instagram, TikTok, or similar platforms as required

 

Requirements:

  • Strong written English and clear communication skills
  • Experience in customer service, admin, or client-facing roles
  • Comfortable handling multiple conversations at once
  • Basic content editing skills (Canva, CapCut, or similar)
  • Organized, reliable, and able to follow clear processes
