Recruitment Process Optimization Lead
Role Summary
The Recruitment Process Optimization Lead owns the end-to-end hiring operating system, with accountability for reducing time-to-hire, increasing throughput, and eliminating latency across sourcing, screening, shortlisting, interview coordination, and offer execution. This role takes direction from the Recruitment Director and works closely with the Recruitment Managers.
This is not a traditional recruitment leadership role. The focus is on process design, flow optimization, metrics, and systems, enabling recruiters and sourcers to deliver fast, repeatable, high-quality hires at scale.
Speed is the first principle. Quality is enforced through systems, not deliberation.

- Time-to-hire consistently ≤10 days
- First qualified candidates delivered within 48 hours
- Shortlists delivered within 3–5 days
- Interview scheduling completed within 24–48 hours
- Increased hires per recruiter without increasing headcount
Key Responsibilities
Recruitment Flow & Speed Optimization
- Own and optimize the end-to-end recruitment flow from intake to start date
- Define and enforce stage-level speed SLAs
- Identify and eliminate bottlenecks, delays, and rework
- Implement queue-based workflow management and clear handoffs
Sourcing Engine Performance
- Design and optimize a high-throughput sourcing engine
- Standardize sourcing playbooks by role type
- Set and monitor sourcing volume and conversion targets
- Reduce time to first viable candidate
Screening, Shortlisting & Decision Acceleration
- Standardize screening criteria and pass/fail gates
- Reduce screening and shortlisting cycle time
- Design shortlist formats that drive fast client decisions
- Improve shortlist acceptance and interview conversion rates
Interview Coordination & Offer Flow
- Optimize interview scheduling to minimize back-and-forth
- Enforce decision SLAs post-interview
- Ensure offers are issued in 4 hours
- Reduce offer drop-off and time-to-start
Metrics, Reporting & Continuous Improvement
- Own recruitment speed, throughput, and conversion metrics
- Build and maintain real-time dashboards
- Run data-driven pipeline reviews focused on flow, not blame
- Continuously test and deploy process improvements
