This established business operates with the agility of a small company while maintaining professional systems and processes. You’ll work directly with leadership and have the opportunity to make a meaningful impact on daily financial and administrative operations.

You’ll become an integral part of a dynamic wholesale operation where your expertise in bookkeeping and administrative support will drive efficiency and growth. This role offers a balanced mix of financial responsibility and general business support, allowing you to showcase your versatility while gaining exposure across multiple business functions. Responsibilities

  • Manage accounts receivable processes and follow-up procedures
  • Handle accounts payable workflows and maintain vendor relationships
  • Perform monthly account reconciliations to ensure financial accuracy
  • Contact vendors by phone regarding invoices and issue resolution
  • Process purchase orders and coordinate supply procurement (Amazon, office supplies, etc.)
  • Execute accurate data entry and maintain organized digital records
  • Provide administrative support to the sales team for non-sales activities
  • Manage email correspondence and general office communications
  • Support inventory-related administrative tasks and documentation

 

Requirements

  • Minimum 3 years of bookkeeping or accounting experience with a strong understanding of accounting principles
  • Strong proficiency in QuickBooks Online or similar accounting software
  • Excellent communication skills, especially for vendor and customer phone calls
  • Experience with data entry, administrative tasks, and documentation management
  • Ability to work with phone systems (e.g., RingCentral or similar VoIP tools)
  • Proficiency with Google Workspace and/or Microsoft Office (Outlook, Excel, Word, Sheets)
  • Strong organizational skills with the ability to multitask and meet deadlines
  • High attention to detail and accuracy; enjoys working with numbers, spreadsheets, and reports
  • Reliable high-speed internet and a professional remote work setup
  • Availability to join video calls (Zoom/Teams) as needed for check-ins, training, or urgent matters
  • Familiarity with financial statements, reconciliations, and compliance filings (e.g., sales tax)
  • Ability to maintain confidentiality and exercise sound judgment
  • Leadership mindset with the ability to take ownership, solve problems, and improve processes
  • Tech-savvy and quick to learn new software systems (CRM, vendor portals, etc.)
  • Experience in a small-business environment is a plus
  • Bachelor’s degree or coursework in accounting or finance is a plus
  • Fluent in English; Spanish is a plus
