Work Schedule: We are open 8AM - 5PM Monday - Friday EST. This would have some flex to it though as we have after hours calls/emergencies that come up.

Job Description

As the vital link between residents, field technicians, and internal teams, you’ll orchestrate complex scheduling operations that keep thousands of maintenance and repair projects running smoothly. This position offers incredible variety, from problem-solving scheduling conflicts to building relationships with residents and technicians. You’ll be working with multiple communication channels and advanced scheduling systems, making every day different and engaging while directly contributing to customer satisfaction and operational excellence.

Responsibilities

  • Coordinate maintenance and repair appointments with residents using phone, text, and email communications across high-volume operations
  • Manage and optimize technician schedules, ensuring efficient field resource allocation and maximum productivity
  • Proactively follow up with residents to confirm appointments, reduce no-shows, and maintain exceptional service standards
  • Handle dynamic appointment changes, cancellations, and rescheduling requests with professionalism and efficiency
  • Facilitate seamless communication between residents, field technicians, and internal teams to ensure everyone stays informed
  • Master multiple communication channels simultaneously, providing consistent and professional service across all touchpoints
  • Deliver outstanding customer service while maintaining the company’s reputation for reliability and professionalism

Requirements

  • Outstanding verbal and written communication skills with a natural ability to connect with diverse audiences
  • Proven customer service experience with a professional, friendly phone manner that builds trust and rapport
  • Strong multitasking abilities with experience managing complex scheduling systems and competing priorities
  • Previous experience with appointment scheduling software or similar coordination tools preferred
  • Excellent problem-solving skills for resolving scheduling conflicts and finding creative solutions
  • Patience, professionalism, and grace under pressure when working with residents and field technicians
  • Availability during US business hours to accommodate resident scheduling needs and team coordination
