Logistics Admin Assistant

Schedule: 20 hours per week, Monday to Friday, flexible between 9AM to 5PM La Canada, CA

About the Role

We are looking for a highly organized and proactive Part-Time Personal Assistant with experience in logistics, scheduling, and product sourcing to support the owner of a growing construction company. This role requires excellent coordination skills, strong research abilities, and the capability to manage a variety of administrative and operational tasks independently. The ideal candidate is resourceful, reliable, and comfortable working in a fast-paced environment.


Key Responsibilities

Administrative & Executive Support

  • Manage calendars, appointments, and daily schedules.

  • Organize meetings, prepare agendas, and track follow-up tasks.

  • Handle email management and communication on behalf of the executive.

  • Maintain digital files, records, and documentation.

  • Draft and prepare reports, documents, and correspondence.

Logistics & Coordination

  • Coordinate deliveries, shipments, and vendor schedules.

  • Track materials, orders, and supplies for construction projects.

  • Communicate with suppliers, subcontractors, and logistics partners.

  • Assist in managing project timelines to ensure timely material availability.

Product Sourcing & Research

  • Source construction materials, tools, and equipment as needed.

  • Compare pricing, availability, and quality across multiple suppliers.

  • Negotiate rates to secure cost-effective purchases.

  • Conduct research on products, suppliers, and industry-related solutions.

  • Maintain supplier databases and product comparison lists.

Operational & Personal Support

  • Assist with business-related and occasional personal errands.

  • Arrange travel bookings—Flights, accommodation, and transport.

  • Support miscellaneous tasks to ensure day-to-day efficiency.


Qualifications & Requirements

  • Proven experience as a Personal/Admin AssistantExecutive Assistant, or similar administrative role.

  • Logistics or procurement experience required (experience within construction is a strong advantage).

  • Strong research and analytical skills.

  • Excellent communication skills, both written and verbal.

  • Highly organized, detail-oriented, and able to handle multiple priorities.

  • Tech-savvy; proficient in MS Office, Google Workspace, online research tools, and task management apps.

  • Ability to work independently and maintain confidentiality.

  • Proactive, resourceful, and solution-oriented.
