Customer Administrative Support Specialist

Work Schedule:

  • Monday - Friday, 8:30 am - 4:30 pm
  • Queensland Time / 8 hours per day / 40 hours per week

Job Description:
The Customer Administrative Support Specialist will play a vital role in ensuring seamless customer service and administrative operations. The successful candidate will be responsible for providing exceptional support to our customers through various channels, including emails and calls. The role also involves assisting in administrative tasks and collaborating with other teams to ensure customer satisfaction.

Responsibilities:

Admin Assistant

  • Assist in maintaining accurate and organized customer databases and records.
  • Prepare and process documentation related to customer inquiries, contracts, and agreements.
  • Provide general administrative support to the customer service team and other departments as needed.
  • Generate reports and compile data for analysis.

Call Centre Operator

  • Handle incoming customer calls professionally, addressing their inquiries, concerns, and requests.
  • Ensure a high level of phone etiquette and provide accurate information to customers.
  • Transfer calls to appropriate departments or individuals when necessary.
  • Record and maintain call logs with details of customer interactions.

Dealing with Customer Queries

  • Respond promptly and effectively to customer queries and concerns via email and calls.
  • Provide clear and concise explanations of company policies, procedures, and services.
  • Collaborate with team members to resolve complex customer issues promptly.
  • Escalate unresolved issues to the appropriate department for further assistance.

Making Calls Regarding Overdue Invoices

  • Contact customers to discuss overdue invoices, payment arrangements, and outstanding balances.
  • Maintain a professional and empathetic tone while communicating with customers regarding payment matters.
  • Update records with payment status, follow-up dates, and relevant notes.
  • Assist customers with setting up payment plans or addressing billing discrepancies.

Qualifications:

  • Proven experience in customer service, administrative support, or call center operations.
  • Excellent verbal and written communication skills.
  • Strong problem-solving skills and ability to handle challenging customer interactions.
  • Proficiency in using Microsoft Office Suite and customer relationship management (CRM) software.
  • Ability to multitask, prioritize, and manage time effectively. Detail-oriented and attentive to accuracy in documentation.
  • Ability to work independently and collaboratively in a team environment.
